Emergency Procedures
Evacuation: From the Arthur Lake Room to the assembly area, The Entrance Leagues Club

1. Evacuation will be declared by Club Management and coordinated by the President, together with the Senior and Junior Vice Presidents of the Forresters Beach Probus Club.
 
2. Looking at the stage from the entrance to the Arthur Lake Room, take the exit on the wall to the right of the stage.
 
3. Follow the green arrows as shown and gather in the assembly area marked with the yellow star. Depending on the nature of the emergency the route to the assembly area might be via the solid or dotted arrows.
 
4. The SVP and JVP will count those present in the assembly area and ensure that this number coincides with those marked as present on the attendance roll. 
 
5. If there are members unaccounted for the President will be notified immediately.
Outings & Events Bookings can be made at the monthly meetings so please bring your money to the meetings!!

Official Functions and activities organised by the Program Coordinators and approved by the Committee are the official Probus events and as such are covered by the Probus Centre South Pacific's insurance policy.

The Committee welcomes suggestion regarding activities to be considered for the program. They can be submitted on the Suggestion Box page or direct to the Events Managers or the Getaways Manager, who will make a recommendation to the Committee taking into account likely interest from members (based on member surveys).

Name Badge?!
Say G'Day!! - Wearing your Probus name badge to all club meetings, outings and social events is the best way to get to know and recognise fellow members. Say hello to someone you haven't met before and make new friends.

If you lose your name badge and/or need a replacement then please contact Membership Officer. There will be a small fee to cover the cost of the replacement badge. Pin on and magnetic badges are available.Top of Page
Photographs Photographs taken at club functions and events may be used in the Newsletter and on the club Web Site and members, by agreeing to be in such pictures, accept this. The photos on our web site are on the Pictures Page and are regularly updated (sometimes within a day or two of the event at which they were taken).

Awards
In recognition of members who have volunteered their time and energy to making our club successful, your Committee has established the Certficate of Appreciation Awards which will be presented to members who have completed their term in office and/or to members and people outside the club who have made a special contribution.

President's
Award
President's AwardThis is an occasional award to an individual Club member to show our appreciation for their efforts in continuing to make our Club so successful. The award is Forresters Beach Probus specific and is not part of the central Probus recognition system. The inaugural awards were made in April 2010.

Photo & News
Submissions
If you would like to submit items (articles and/or photos) for inclusion in the newsletter or the web site, then you can do so by one of these methods:-
  1. Upload items direct to our DropBox. Click here for directions.
  2. Send them by email to the Newsletter Editor with copies of photos to the Webmaster. Any photo attachments MUST be FEW in number (no more than about 3 per email)
  3. Post them to the club's postal address.
  4. Put them on a disk or a USB flash drive (memory stick) and give them to the Newsletter Editor or Webmaster.

Procedures for all events
Procedure for all Events including Getaways and Caravan & Cabin

Approval to Proceed
No event can be advertised without the formal approval of the Committee or the Executive group.
To get this approval, the Convenor must provide the following information to the Committee.
•    Details of the event including where it is going
•    Proposed date(s) and time
•     Approximate cost/person
•    Date deposit due
•    Final payment date
•    Minimum and maximum attendee numbers if applicable
•    If the Convenor believes the event should be open to people that are not members of our
            Probus club, they should provide the reasons for this
•    Any other details that may be relevant
Depending on the minimum attendee number, it may be that the Committee asks the members for
an “expression of interest” before giving approval.

Once approval has been given, the event can be advertised within the club.

Publicity & Booking

Once approval has been received, the event should be mentioned at the next general meeting of the
club. Details should be in the newsletter published a few days before that meeting, and then on the
website after the meeting.

To book into an event, a member can either put their name on a booking sheet at a meeting, contact
the Convenor via phone or email, or pay the appropriate money via internet banking into the club’s
bank account. If an event has an advertised maximum number and more than this number wish to
participate, then priority will be given to those who pay first.

Due Date, No refund Date

Every event must have a date by which payment must be made. Payments after this date will only be accepted with the permission of the Convenor. Every event will also have a date after which no
refunds will be given. Normally this “no refund date” will be the date when the club becomes liable
to pay money to a third party for that event.

Attendance of people who are not members of the Forresters Beach Probus Club

Initially events should only be open to members of our Probus club, and should not be made
available to other people without the Committee’s permission. There are 4 circumstances under
which the Committee will approve other people taking part
1. If there is a last minute cancellation by someone and the Convenor is trying to fill the spot.
2. If a person is interested in joining the club and would like to come to the event to help them
decide if they should join. People fitting into this category can only attend 2 events before they
join, and the maximum number of potential members attending any single event will be
determined by the Convenor.
3. If the Committee agrees that the event should be opened up to other Probus clubs. In this case,
it can be advertised with other clubs but only after our members have been given sufficient time
to book in.
4. If the Committee agrees the event can be opened up to non-Probus members. Once again, this
can only happen after our members have been given sufficient time to book in AND the
minimum number for the event hasn’t yet been reached.

If a non-member of our club is attending an event, when they book they must fill out an information
form giving their name, address, contact phone number, email address, an emergency contact
phone number, and Probus Club name if other than FBPC.
 This must be given to the Convenor when they book into the event.
 The form will clearly state that if the person is not a member of a Probus club, then they will not be covered by Probus South Pacific’s insurance scheme.

If the event is opened up to other Probus clubs, then the Treasurer of each of those Probus clubs is
responsible for collecting the money from their members and forwarding it to the Treasurer of our
club. Refunds will happen in the same way.

Note that people who used to be members of our club but have resigned, will be treated in the same way as all other non-members in relation to the above.
